Client Agreement

A $150 non-refundable deposit is required to reserve your event date and character.

Your booking is not confirmed until the deposit has been received.

The remaining balance is due seven (7) days prior to the event date.

If final payment is not received by the due date, Hill Country Princess Co. reserves the right to cancel the booking and release the event date to another client.

The guest count provided at booking will be considered the official guest count for staffing purposes unless updated with Hill Country Princess Co. no later than seven (7) days prior to the event.

The safety of our performers and the quality of our guest experience are top priorities.

Performer-to-Guest Ratio: One (1) Princess Performer for every ten (10) participating children. Events with more than ten (10) participating children require a Company-approved assistant and additional staffing fees will apply.

This policy ensures child safety, quality interactions, effective activity management, and a magical experience for every child.

Clients are responsible for providing an accurate guest count. If the actual guest count exceeds the number disclosed during booking and additional staffing has not been arranged, Hill Country Princess Co. reserves the right to modify activities, require additional staffing fees, delay activities until staffing arrangements are made, or end the event if safe staffing levels cannot be maintained.

IMPORTANT: If your event will have 10 or more children, an assistant must be booked at least 7 days in advance. Please confirm your final guest count with us no later than 7 days prior to your event so we can secure the necessary staffing.

No refunds will be provided if services are discontinued due to undisclosed guest counts.

A parent, guardian, or responsible adult must remain present and available throughout the event.

Hill Country Princess Co. performers are entertainers and are not babysitters, childcare providers, or event supervisors.

Performers are not responsible for supervising children, bathroom assistance, discipline, or transportation of children.

Children remain the responsibility of their parent or guardian at all times.

Our performers deserve a safe and respectful work environment.

Hill Country Princess Co. reserves the right to immediately end services without refund if a performer experiences aggressive behavior from adults or children, threatening behavior, harassment, inappropriate conduct, unsafe property conditions, aggressive or unsecured animals, lack of required adult supervision, or any situation that places the performer or guests at risk.

If a safety concern arises, the performer will immediately contact Company management. Hill Country Princess Co. reserves the right to instruct the performer to leave the event if management determines that conditions are unsafe or if Company policies are being violated. In such cases, no refund will be issued.

For outdoor events, the Client is responsible for providing an indoor or weather-safe backup location.

If severe weather creates unsafe conditions, Hill Country Princess Co. may reschedule the event based upon availability.

Performers are scheduled for specific time periods.

Additional time requests must be approved through Hill Country Princess Co. prior to the event whenever possible.

Additional time is not guaranteed as performers may have other scheduled appearances. Additional fees will apply.

Hill Country Princess Co. provides storybook-inspired character entertainment.

Our performers are independent theatrical entertainers and are not affiliated with, licensed by, sponsored by, or associated with any copyrighted or trademarked company, film studio, or character owner.

Client understands that participation in party activities involves normal risks associated with children's play, movement, and entertainment activities.

The Client assumes responsibility for supervising all participating children and releases Hill Country Princess Co., its owners, performers, employees, and representatives from liability for injuries, damages, losses, or accidents occurring during the event except where prohibited by law.

The $150 deposit is non-refundable.

Because performers are reserved specifically for your event date, cancellations affect our ability to accept other bookings.

Clients may reschedule one time with at least fourteen (14) days' notice, subject to performer availability.

Rescheduling requests made within fourteen (14) days of the event may not be eligible for rescheduling and may be subject to additional fees.

No refunds will be issued for cancellations made within fourteen (14) days of the event.

Weather-related rescheduling requests will be reviewed on a case-by-case basis.

In the rare event that a performer becomes ill or experiences an emergency, Hill Country Princess Co. will make reasonable efforts to provide a replacement performer, reschedule the event, or issue a refund if no suitable alternative can be arranged.
